How do I invoice a partner after a completed job?

If you’ve completed a booking through the Job Board you can invoice them directly from your dashboard. The system generates an invoice with all the key details so you can get paid faster and keep things organized.

💼 Who sends the invoice?

You do. But Keyguides Connect helps by preparing the invoice for you — ready to go as soon as the tour is completed.

📌 The invoice is sent from you, the guide — not Keyguides Connect.

⚙️ How to send an invoice

1. Go to your Guide Dashboard

2. Find the completed booking under Bookings

3. Click Generate & Send Invoice

4. Review the details (tour date, price, partner name, etc.)

5. Choose one of the following options:

   • Send invoice directly to the partner from the platform

   • Download PDF for your own records or to send manually

   • Mark the job as "Invoice Sent" if you’ve used your own system

💡 Tip: Once the invoice is sent, the booking status will update automatically to Invoice Sent.

💳 What do I need before I can send?

To send invoices from the platform, you need to enter your IBAN and BIC number in your guide profile. This ensures that partners know where to pay you.

• You only need to do this once

• Your bank details are stored securely

• You can edit them later if needed

📄 What’s included in the invoice?

The automatically generated invoice includes:

• Your name and bank details (IBAN/BIC)

• Partner’s company name

• Tour name and date

• Price (as agreed when accepting the job)

• Unique invoice number and date

✅ Can I track payment status?

Yes – although Keyguides Connect doesn’t process the payment directly, you can still track your booking manually:

• Click Mark as Paid once you receive payment

• This updates your dashboard so you can stay organized

There’s no automatic payment tracking – but you stay in control.

🧾 Can I use my own invoicing system?

Absolutely. If you prefer to use your own accounting or invoicing tools:

• Just mark the booking as Invoice Sent manually

• You can still use the Mark as Paid function later

We built invoicing to be flexible — use the parts that fit your workflow.
